Running SOLiX Wellness Studio · South Tulsa

The operating system for modern wellness studios.

Scheduling, memberships, front desk, marketing, and a governed AI assistant — one platform, built inside a working studio and proven at the front desk, every day.

Origin

Built by a studio, for studios.

SolFocus began on the front desk of SOLiX Wellness Studio in South Tulsa. We booked the sessions, ran the memberships, answered the phones — and kept running into software that handled a light and heat studio like a gym with unusual equipment.

So we built our own. Every feature in SolFocus earned its place the same way: a real problem at a real front desk, solved, then refined until staff stopped thinking about it. Nothing here exists because a roadmap said it should.

Our mark is a golden orbit — light circling a steady center. It is how we think about the work: your studio at the center, and every system moving quietly around it, each pass a little more refined.

What’s inside

Everything below runs in production today.

Not a roadmap — a working studio. Each of these carries real bookings, real payments, and real messages at SOLiX right now.

Protocol‑aware scheduling

The calendar understands what an appointment studio actually is: rooms, protocols, durations, and the time between sessions — whether your rooms run light, heat, cold, or hands‑on care. Book multi‑service itineraries in one pass, drag appointments where they need to go, and let dose‑safety ceilings and wrap‑up windows do their quiet work in the background.

Memberships & billing

Stripe‑native billing with plan changes that prorate fairly, pauses that behave, and receipts that make sense. Clients manage their own memberships in a self‑service portal, signing in with a one‑time code — no passwords to forget, no calls to the desk.

Front desk & POS

Retail, inventory, gift cards, promotions, and terminal payments live in the same system as the calendar. One order, one ledger, one place to look when a client asks what happened — and house credit that reconciles itself.

Marketing on autopilot

Win‑back texts for lapsed clients, review requests after a visit, and campaigns that respect people by default. Consent, STOP handling, and bounce suppression are built into every send, and quiet hours are automatic — your studio never texts anyone at 3 a.m.

Elara, the studio’s AI

A governed assistant, not a gimmick. Elara drafts answers beside your staff, greets visitors on your website, texts back missed calls with a booking link, and studies incoming texts quietly before it ever speaks. Every surface has its own switch, and Elara never makes medical claims — by design.

Command‑center settings

Every policy is a setting: booking windows, no‑show rules, wrap‑up minutes, feature gates. Set a value company‑wide, override it per location, and see exactly where each value comes from. Changing how your studio runs is a toggle — never a support ticket, never a deploy.

Reporting that answers questions

An executive dashboard for the morning glance, membership intelligence for the deeper look, and churn surfaced while there is still time to act. Daily sales, renewals, demographics — readable in place, without exporting a thing.

Workforce

Staff scheduling with shift reminders, a time clock with sensible exception rules, payroll summaries, and time‑off requests handled in the open. The operational spine behind a calm front desk.

The difference

A few things we decided early.

We ran a studio on legacy platforms before we built our own. These are the lines we drew — and will not be undoing.

  • Your app carries your brand — and no one else’s ads.

Legacy platforms sell space in your client app to other businesses, then charge a premium tier to remove it. Your client experience is yours here, at every tier, always.

  • No junk fees, no forced hardware.

Billing runs on Stripe with pricing you can read. No gateway surcharges, no annual “maintenance” line items, no monthly minimums, no proprietary card readers you didn’t ask for.

  • Policy changes are settings, not support tickets.

Advance-booking windows, no‑show rules, safety ceilings, feature gates — you flip them yourself and they take effect immediately. No queue, no callback, no waiting on someone else’s release.

  • Built for appointment-and-suite studios.

To legacy platforms, your rooms and equipment are generic “assets” bolted onto gym software. SolFocus was designed around appointment‑and‑room studios from the first line — protocols, turnover time and all.

  • Clients help themselves.

Reschedules, plan changes, pauses, receipts, gift purchases — clients handle these from their own portal with a one‑time code. Your desk stays free for the people standing at it.

  • Your data, your brand, your platform.

Your client list, your history, your reports — visible to you, in plain language, whenever you want them. SolFocus earns its place month by month; it never holds your studio hostage.

Spotlight

Meet Elara.

Elara is the studio’s assistant. On your website, she answers visitor questions with live, always‑current pricing and captures the leads your front desk would otherwise miss. When a call rings out while staff are with a client, Elara texts the caller back with your booking link before they dial the studio down the street. And beside your team, she drafts responses grounded only in sources you have approved.

She is always disclosed as an assistant, always inside guardrails you control, and she leaves anything resembling wellness advice to humans. Every capability ships off until you deliberately turn it on — and a kill switch ships on.

Opening soon, carefully.

SolFocus 2.0 runs SOLiX Wellness Studio today — every booking, every membership, every text. We’re opening it to a small group of wellness and fitness studios who want software built where they work. If that’s you, we’d like to meet.
